Permits, without the runaround
The brief
Where this started
Event organizers had to coordinate permits across multiple government agencies by phone, email and paper: slow, opaque and error-prone for everyone involved, including the agencies themselves. I designed a centralized digital platform to reduce administrative overhead, save time, and improve collaboration between organizers and regulatory bodies.
The friction
What was getting in the way
A complex, time-consuming process requiring coordination with multiple government agencies.
No visibility: applicants couldn't see where a submission stood or what was missing.
Delays and frustration that directly impacted the success of public events.
The response
What we built instead
Digital applications submitted to multiple agencies from one place.
Real-time tracking of permit status and approvals.
Direct messaging and document sharing between organizers and government representatives.
Automated notifications and reminders to prevent missed deadlines or incomplete submissions.
The method
How the evidence led there
User research
interviews with event organizers and government staff to identify bottlenecks and pain points on both sides of the counter.
Workflow mapping
mapped the end-to-end permit acquisition journey to design streamlined digital flows.
Information architecture
intuitive dashboards for tracking submissions, approvals and pending actions.
Prototyping and testing
interactive Figma prototypes validated with organizers and agency staff.
Collaboration tools
integrated messaging and document sharing to improve cross-agency communication.
The result
What changed
Significantly reduced the time required to obtain permits.
Faster approvals through better coordination and transparency between agencies.
Improved satisfaction, with streamlined processes making event planning smoother.
A scalable, reusable framework that extends to new event types and jurisdictions.
Why it matters: Untangling bureaucratic complexity into one clear service: a pattern any regulator, agency or enterprise can reuse.
